These Terms of Service ("Terms") govern your use of ScanIn's visitor management system and related services provided by 2M Systems Pty Ltd ("we," "us," or "our"). By accessing or using our services, you agree to be bound by these Terms.

Please read these Terms carefully. By creating an account or using ScanIn, you acknowledge that you have read, understood, and agree to these Terms.
1. Acceptance of Terms
- Comply with these Terms and all applicable laws
- Provide accurate and complete information

2. Description of Service
ScanIn provides a cloud-based visitor management system including:
- QR code-based visitor check-in and check-out
- Real-time visitor tracking and reporting
- Emergency management and evacuation features
- Multi-location management capabilities
- Email notification systems
- Administrative dashboard and analytics
3. Account Registration and Security
Account Creation
- You must provide accurate, current, and complete information
- You are responsible for maintaining account confidentiality
- You must be at least 18 years old to create an account
- One person or entity may maintain only one account
Account Security
- You are responsible for all activities under your account
- Notify us immediately of any unauthorized access
- Use strong passwords and enable available security features
- Do not share account credentials with others
4. Acceptable Use Policy
- Use the service only for lawful purposes
- Do not transmit viruses, malware, or harmful content
- Do not attempt unauthorized access to our systems
- Do not disrupt or interfere with our services

5. Subscription Plans and Billing
Free Plan
- Free for one location with full features
- 60-day trial of premium features for all plans
- No credit card required
Paid Plans
- Billing occurs monthly or annually
- Charges billed in advance for the subscription period
- Price changes communicated 30 days in advance
- Refunds as per our refund policy
Payment Terms
- All fees are in AUD
- Payment is due immediately upon subscription
- Failed payments may result in service suspension
- Automatic recurring charges authorized
6. Cancellation and Refunds
Cancellation
- Cancel subscription at any time
- Cancellation effective at end of billing period
- Free accounts remain active unless deleted
- Data retention policies apply after cancellation
Refund Policy
- 30-day money-back guarantee for first-time subscriptions
- Prorated refunds for service downgrades
- No refunds for partial months or violation terminations

10. Disclaimers and Limitations
Service Disclaimer
The service is provided \"as is\" and \"as available\" without warranties. All express or implied warranties, including merchantability, fitness for a particular purpose, and non-infringement, are disclaimed.
Limitation of Liability
We disclaim all liability for any loss, damage, or claim, including indirect, incidental, special, consequential, or punitive damages, data loss, or reliance on ScanIn. Our total liability is limited to the amount you paid in the last 12 months. This includes outages, security breaches, or unauthorized access, provided we notify confirmed breaches within 24 hours.
11. Emergency Services Disclaimer
Important Emergency Notice
ScanIn assists with emergency management but does not replace proper procedures. Maintain independent manual protocols. Features such as "Additional Notification Email" to CC visitor arrivals and exits to a central mailbox may serve as backup methods.
12. Modifications to Terms
- Immediately for new users upon posting
- 30 days after notification for existing users
- Upon continued use of the service
13. Termination
- Violation of Terms
- Non-payment of fees
- Illegal or harmful activities
- Extended inactivity
14. Governing Law and Jurisdiction
These Terms are governed by the laws of South Australia, Australia. Disputes resolved in South Australian courts.
15. Severability
If any provision is unenforceable, the remaining provisions remain in full effect.
